Job Description

An Office Administrator is responsible for managing administrative tasks, overseeing office operations, and providing support to employees and visitors within an office environment.

Key Responsibilities

Administrative Support: Provide administrative assistance to various departments, including managing office supplies, scheduling appointments, and handling correspondence.

Communication: Act as the point of contact for internal and external stakeholders, managing phone calls, emails, and visitor inquiries.  Must conduct yourself in a polite, professional manner, good attitude and pleasant demeanor.

Record Management: Maintain and organize electronic and paper filing systems, ensuring accuracy and accessibility of records.

Meeting Coordination: Schedule and coordinate meetings, conferences, and travel arrangements for staff, ensuring all logistics are handled efficiently.

Inventory Management: Oversee office supplies, lunchroom supplies and equipment (dishwasher), ensuring stock levels are maintained and ordering supplies as needed.

Event Coordination: Assist in organizing office events, including staff meetings, training sessions, and social gatherings.

Essential Skills and Qualifications

Organizational Skills: Ability to manage multiple tasks efficiently while maintaining attention to detail.

Communication Skills: Strong verbal and written communication skills are crucial for effective interaction with staff and clients.  Professional, polite and approachable colleague.

Technical Proficiency: Familiarity with office software, such as Microsoft Office Suite, and other relevant tools.  Intermediate level excel skills is a must.

Problem-Solving Skills: Ability to address issues as they arise and provide constructive solutions.

Experience: Previous experience in an administrative role is preferred (2 – 4 years), along with a high school diploma or equivalent; a diploma in business administration or a related field would be an asset.

Work Environment

Work in a professional corporate office environment.  The role may require occasional local travel for office-related errands and assistance with Company events.
